Your mission
As HR Assistant, your mission is to support our HR Manager in attracting the right talent and setting them up for success from day one at OKAPI:Orbits. In a high pace environment, from day one you will support our recruiting pipeline, onboarding experience, team culture initiatives, and the way we capture and share HR knowledge across the company. Working closely with our Chief of Staff, you ensure that candidates have a smooth and professional hiring journey, that new team members feel welcomed and productive from their first day. By bringing structure, warmth, and a proactive mindset to everything people-related, you help us scale our diverse and international team, and maintain a company culture in which everyone can grow.

Your Tasks And Responsibilities
Operational Excellence:
- Process documentation & standardization: Enable our Business Team to work more efficiently by improving our Jira Service Management process setup
- Knowledge base: Improve our cross-team information exchange by ensure all information is always up to date
- Identify recurring inefficiencies, analyze root causes, and propose small, practical process improvements.
- Reduce manual work by introducing templates, basic automations, and usage guidelines for operational tools.
- Organize monthly onsite and hybrid team events
- Support preparation and execution of summer offsite for whole company
- Support operational excellence by optimizing MS Sharepoint, Confluence and MS Teams setup
- Preparation and participation in recruiting fairs in Brunswick and other German cities
- Support the end-to-end recruiting process: drafting job postings, screening applications, scheduling interviews, and managing candidate communication
- Maintain and continuously improve our applicant tracking setup to ensure every candidate has a professional and timely experience
- Coordinate interview panels, collect structured feedback from interviewers, and support hiring decisions with well-organised documentation
- Identify bottlenecks in the hiring funnel and propose practical improvements to reduce time-to-hire
- Run structured onboarding check-ins with new team members during their first weeks to gather feedback and address open questions
- Continuously improve our onboarding programme based on new hire feedback and company growth
These qualifications are a must:
- People orientation: You genuinely enjoy working with and for people, and understand that a great employee experience starts already before the first day of work
- Confidentiality: You will have access to sensitive personnel information, so a high level of discretion is non-negotiable.
- Comfortable to say No: When conducting first interviews, you are the gatekeeper of our company culture.
- Organisational skills: Recruiting and onboarding involve many moving parts simultaneously. Therefore, you stay on top of deadlines, follow up proactively, and nothing falls through the cracks.
- Team Player: You communicate clearly and collaborate effectively from interns to C-level, across all levels of the organisation.
- Your English level should be C1, spoken and written.
- You are already located in Germany and can move to Brusnwick or are already based here because you will work onsite in our office in Brunswick. Therefore, for this position, we do not consider applicants with a residence outside Germany. Furthermore, we cannot offer any VISA sponsorship.
- Ideally, you are enrolled in a master's degree (or 5th+ semester in a bachelor's degree) in Human Resources, Psychology, Business Administration, Technology-oriented Management or a related field. You should be enrolled for at least the next 6 to 12 months, and see this position as a potential stepping stone for your future career at OKAPI:Orbits.
- For your application, please also share your past and current university reports including grades and if applicable past employment references.
- Recruiting experience: You have already supported a hiring process, screened CVs, or worked with an applicant tracking system / HR software such as Personio or HiPeople.
- Onboarding experience: You have helped design or run an onboarding programme, even in a student organisation or internship context.
- Previous Start-up/Work Experience: You have worked in a fast-paced startup, consultancy, or HR agency environment before.
- Tech-Savviness: Familiarity with tools like Confluence/Jira, MS SharePoint, MS Teams, or Personio will help you hit the ground running.
- Event management: You have independently organised events and know how to keep logistics under control.
- Communication with German authorities/contract preparation: Ideally you are also fluent in German or even a native speaker which is a big plus.
