The Role
The Operations Specialist is the backbone of VEIR’s daily operations. This role balances day-to-day office administration, vendor and facilities management, light IT coordination, and reception. You’ll keep VEIR’s operations efficient and organized handling everything from facilities and operational challenges to troubleshoot IT requests, ensuring our workspace reflects and enables our fast-moving, innovative culture.
As part of our Operations Team, you will also be expected to staff the front desk ~10 hours/week.

In the first 3 months you'll

  • Get fully integrated into VEIR’s organizational structure, key stakeholders, and company culture.
  • Develop familiarity with recurring operations issues and partner with the Head of Business Operations, Executive Assistant, and EHS Manager to begin supporting responses
  • Gain exposure to the functions of the Operations team and VEIR’s business plans, technology, and policies and build relationships with VEIR’s key business operations vendors.
  • Become familiar with VEIR’s main office and lab facility, including IT and AV equipment.
  • Take in IT requests, resolving simple issues and escalating to VEIR’s managed services provider when needed.
  • Learn VEIR’s facilities plans, managing incoming facility requests, and escalating to external facilities vendors as appropriate.

In the first 6 months you'll

  • Take ownership of recurring operational and facilities responsibilities for VEIRs main office facility and begin supporting activities related to VEIR’s additional test facility.
  • Take ownership of all IT requests with the support of VEIRs managed services provider.
  • Own VEIRs office and meeting room set up for key meetings, investor visits, and customer visits.
  • Begin identifying and implementing process improvements for facilities and IT.
  • Gain confidence in independently responding to operations issues.

By the end of the first year you will have

  • Take complete ownership of VEIRs main office facility, including day-to-day operations.
  • Fully own and manage responses to operations issues across the organization. Pulling in the appropriate internal and external resources, when necessary.
  • Deliver improvements to VEIR’s facilities and IT processes, driving operational efficiency.
  • Actively contribute to scaling VEIR’s Business Operations organization by developing response strategies, formalizing processes, and identifying opportunities for continuous improvement.

Who You Are

  • 2–4 years of experience in facilities, office management, or business operations, preferably in a startup, lab, or fast-paced technical environment.
  • Comfortable troubleshooting common IT issues (laptops, printers, AV systems, network connectivity) and escalating to managed service providers. Familiarity with Microsoft 365, Slack, Zoom, and other collaboration tools is strongly preferred.
  • Resourceful and proactive, able to “figure it out” without waiting for direction, while knowing when to escalate. You thrive in dynamic, fast-changing environments.
  • Skilled at juggling multiple priorities and projects while maintaining accuracy and follow-through.
  • Clear, approachable, and collaborative with excellent written and verbal communication skills. You can confidently interact with executives, teammates, vendors, and visitors, presenting a professional and welcoming presence.
  • Curious and hands-on. Whether it’s a facilities issue, an IT hiccup, or a last-minute event setup, you’re comfortable taking ownership and driving it to resolution.
  • Always looking for ways to improve efficiency, document procedures, and create scalable systems.
  • Flexible, positive, and solutions-oriented. You see opportunities, not obstacles, and are eager to pitch in wherever needed.
  • Able to adjust quickly to shifting priorities, new tools, and changing business needs.
